Document Processing Automation for high-volume paperwork

Read it, extract it, validate it, file it.

AI that reads invoices, contracts, and forms, extracts the data, validates it, and pushes it straight into your systems — no manual keying.

What you get

The outcomes this actually changes

Reads invoices, contracts, and forms in whatever format they arrive

Extracts the fields you actually need — not a generic OCR dump

Validates against your own rules before anything gets filed

Flags anything it isn't confident about, instead of guessing

Every document still gets typed in by hand

Invoices, contracts, and forms arrive in a dozen different layouts, and someone has to read each one and key the numbers into your systems. It's slow, and a single mistyped figure can cascade into a real accounting or compliance problem.

It's also the single most error-prone process in most businesses, because human attention degrades exactly when volume is highest — the busiest week is when the most mistakes get made.

What this actually looks like

An invoice lands in an inbox. It's read, the supplier, date, total, and line items are pulled out, checked against what was expected, and — if everything matches — filed straight into your accounting system with nobody typing a single number. Anything the system isn't confident about gets set aside for a person to glance at, instead of silently guessed.

Handwritten or very inconsistent documents need testing first, though — we check accuracy on your actual documents before committing to anything. And if you only handle a handful of documents a week, the manual process might genuinely still be fine.

How we build it

A real phased build, not a vague promise — here's what actually happens each week.

  1. Week 1

    Document mapping

We collect real examples of what actually arrives — every layout and edge case, not just the clean ones.

  2. Week 2

    First working extraction

A live pipeline handling your highest-volume document type, filing straight into your system.

  3. Weeks 3–6

    Coverage and confidence

More document types, tighter validation rules, and a review queue for anything uncertain.

  4. Handover

    Documentation and access

The extraction rules, the review process, and the infrastructure — yours to keep tuning.

What we build on

We combine layout-aware extraction with validation rules specific to your documents, then push the result straight into your accounting or records system. Anything below a confidence threshold gets queued for a quick human check instead of silently filed.

Reading text off a page is largely a solved problem now. The part that actually takes the work — and the reason this isn't a five-minute integration — is the validation layer: knowing which extracted fields to trust and which to flag, specific to your documents and your rules.

What this looks like in production

An accounts team used to spend the first two hours of every day typing supplier invoices into their accounting system. Now an invoice that arrives by email is read, matched against the purchase order, and filed automatically if everything lines up — the two hours are gone, and the only invoices anyone opens are the ones the system genuinely wasn't sure about.

FAQ

Common questions

It depends entirely on your document mix, and anyone quoting a number before seeing your documents is guessing. What we commit to is that the system knows when it's unsure — a low-confidence field gets flagged rather than silently written.

Scanned, yes. Handwritten, sometimes, depending on legibility — we test on your actual documents during scoping before either of us commits.

It's flagged for review instead of guessed at. Over time we tune the extraction rules on real examples, so the queue of unfamiliar formats shrinks.

You do — the rules, the audit trail, and the systems they file into are entirely yours.
